Billing and plans

How your organization's plan is priced and paid, what an invoice holds, how walks are counted, and what happens when a payment is late.

Billing in the app leads to either a card payment, monthly or yearly, or an invoice paid by bank transfer. Both end with the plan active and walks counted each month.Billing in the app leads to either a card payment, monthly or yearly, or an invoice paid by bank transfer. Both end with the plan active and walks counted each month.
Two ways to pay for the same plan.

How a plan is priced

  • Each organization has one plan. The price is a base fee plus a charge per contracted hectare of greenhouse.
  • Contracted hectares are a whole number, at least one. Up to 500 hectares can be chosen in the app; for more, write to us for a quote. The Billing page shows the row area in your registry next to it, so you can see when it is time to add a hectare.
  • A yearly plan costs less than twelve monthly payments. For prices, write to hello@deepleaf.io.
  • A pilot is one growing season on up to ten hectares, quoted per hectare and invoiced by DeepLeaf. Write to your DeepLeaf contact for a quote.

Card or bank transfer

Open Billing from the account menu in the app (/app/billing) and choose the plan, hectares, and monthly or yearly. The buttons below show the ways to pay that are set up for your organization.

  • Pay by card. The card is entered on a secure hosted payment page; DeepLeaf Yield never sees or stores the card number. The plan renews itself each period. Manage card changes the card, shows past invoices, or cancels.
  • Request a wire invoice. For yearly plans. The invoice opens as a page you can print or save as a PDF, with the amount, the due date (30 days), and the bank details. Send a wire or an ACH transfer for the full amount, and include the invoice number in the reference (the memo or message to the beneficiary). The payment is then matched to the invoice automatically, and the plan and hectares take effect until the end of its period. Until it is applied, the invoice shows "Payment received, being matched". A payment without the invoice number, for a different amount, or from a different name than your organization is checked by hand, which takes longer.
  • Pay by bank transfer. Offered on some accounts, monthly or yearly. You get an invoice, due in 30 days, that opens as a hosted page with a PDF. It shows the account number and routing number to send the money to; these are for your organization only and stay the same on later invoices. Send an ACH transfer or a wire from your bank, and include the invoice number in the reference. The plan and hectares on the invoice take effect when the full amount has arrived; until then, your current plan stays as it is. If less than the full amount arrives, the invoice stays open for the rest. Anything sent above the amount is held as a balance toward your next invoice, or returned to you.

Bank transfers are in US dollars. A transfer from outside the United States arrives as an international wire: it can take 3 to 5 business days, and fees charged by the banks along the way are taken from the amount, so send enough to cover them. Bank fees are paid by the sender.

Invoices

Every invoice is listed on the Billing page with its number, period, amount, and status. A card or bank transfer invoice links to its hosted page. A wire invoice links to its printable page. Each invoice shows the plan's base fee and the hectares as separate lines, in US dollars. A renewal invoice starts when the current paid period ends, so paying early adds a full period.

How walks are counted

  • A walk is counted once, when it is accepted for scoring. If scoring fails, it is taken off the count again.
  • A walk is one video or set of photos of a row that DeepLeaf Yield scores. A walk filmed as several clips counts as one.
  • Each plan includes a number of walks for each hectare, every calendar month (UTC), with a minimum for small areas. For example, Standard includes 25 walks a month for each hectare, with at least 50: 2 ha get 50 walks, and 4 ha get 100. The Billing page shows this month's count against the allowance.
  • Up to 10% more is allowed in a month, so 4 ha on Standard can score up to 110 walks. After that, new walks wait until the 1st of the next month, or until the plan has more hectares. Walks are never charged one by one, so the invoice is always the quoted amount.
  • Reading, editing, and exporting your data are never counted or limited.

When a payment fails

  • If a card payment fails, the card is retried automatically and you get an email with a link to update it. Scoring continues for 14 days.
  • A plan paid by bank transfer or wire invoice also has 14 days after the period ends for the renewal payment to arrive. Request the next invoice from Billing before the period ends; it starts when the current period ends.
  • After that, new walk scoring and new forecasts pause, with a message that links to Billing. Everything already in DeepLeaf Yield stays readable and exportable: walks, forecasts, harvests, irrigation, readings, and CSV export.
  • Scoring resumes as soon as the payment arrives.

Canceling

A card plan can be canceled in Manage card. It stays active until the end of the paid period. A plan paid by invoice ends when its period ends and no new invoice is paid; to stop earlier or ask about a refund, write to hello@deepleaf.io. After a plan ends, your data stays readable and exportable; ask us if you want it deleted.
